The Simple Software That Saved Our Agency 168 Hours a Month

We used to lose 100+ hours each month to a mindless, but necessary, task.

Today I want to share a tool that was used to cut the time in half.

I gatekept this tool forever… but they deserve the shoutout.

(Email marketing analytics platform for both agencies and brands)

As your agency starts to scale, you quickly realize not everything is about getting more clients.

Being able to scale to 100+ active clients while maintaining 95% retention comes down to efficiency and time management.

We’ve invested A LOT of time and effort into making our team members more efficient so they can focus on high-leverage things like strategy and client relationship management.

One example is with client reporting and data analysis.

After doing some surveys, we found that our Account Managers were spending hours on hours just pulling data for monthly reports. 

Literally downloading screenshots from Klaviyo, digging for flow numbers, campaign performance, popup metrics, switching between 3–4 tabs, then pasting everything into Google Slides to make it look client-presentable.

It came out to roughly 2 hours per client per month.

Which didn’t sound too bad until we did the math…

Each AM manages ~6 accounts and we have 14 AMs. 

That’s roughly 168 hours per month across the company spent just compiling data… not analyzing it, not strategizing off of it, literally just compiling it.

The end result was decent, but not incredible…

Too many screenshots. Formatting slightly different person to person. It was a pain to update SOPs so nothing changed, etc etc

Now, our team generates full monthly or quarterly client reports literally in one click. 

Account Managers can just look at the data, analyze it, and make their strategic recommendations.

It cut our reporting time by at least 50%. And more importantly, it freed up dozens of hours every month for our AMs to focus on actual strategy, communication, and client relationships.

One of my favorite features as well is the agency performance dashboards…

With 100+ clients it can be hard to keep up with results and know who to focus on.

The agency performance dashboards will pull data from all our clients into singular views and I can see across the agency who is trending upwards and who is trending downwards.
